Problem

A rapidly expanding business with huge potential for growth reliant on specialist knowledge and skills to manage the mobile operation.

Solution

Massive reduction in the administration resource required to manage the mobile operation and communicate efficiently and accurately with a growing client base.

Serving the holiday home sector across Cornwall

The waste and recycling company has seen its client base grow by a factor of 8, and the number of collections it makes increase tenfold.

Despite this meteoric growth, the Newquay-based business has reduced the administrative resource required to manage the mobile operation from nearly a thousand hours a year to less than seven using BigChange field service management software.

Rubbish collection isn’t glamorous but BigChange makes it efficient and reliable

“We looked at other systems before selecting BigChange but the combination of CRM, scheduling, and financial tools, packaged in a single, easy to consume solution stood head and shoulders above the competition.” Charles Scully, founder & Managing Director, Cornwall Waste Care.."

Using the BigChange job management system, which incorporates customer relationship management (CRM), job scheduling, live tracking, resource management, financial management, and business intelligence, in one simple to use and easy to integrate solution, waste operatives, armed with mobile phones running the BigChange App are live-linked to the back office system. Schedules and routes are automatically produced and shared, and job-sheets, once completed, are centrally logged and used for invoicing at the end of the month.

“Before BigChange this task involved an excel spreadsheet, an intimate knowledge of Cornish villages and towns, and a pinch of trial and error. It also took on average a couple of hours a day, every day!” Charles Scully, Managing Director, Cornwall Waste Care.

Additional intelligence, for example, rubbish not out for collection, can be documented with date and time stamped photos complete with geocoded location, which is easily shared with clients to support billing. Integration with the company’s accounting software Xero has also saved administration time with monthly invoices, produced from completed job-sheets, sent to the client, and accessible for financial reporting, in just a few clicks.

No more paper

“Slashing administration and automating workflows means we no longer produce reams of paper, which someone, probably us, has to ultimately process as waste, and connecting our mobile workforce with the back-office function means we have 24/7 visibility so we can easily answer customer queries or react to changing schedules.” Charles Scully, Managing Director, Cornwall Waste Care.

BigChange is also helping CWC improve the management of its growing fleet of Isuzu tipper trucks. Each operative is guided through a series of vehicle checks before the start of their waste collection shift, designed to spot defects before they become an issue and improve fleet performance. Driver behavior alerts, including flags for harsh braking, speeding, and idling, are also impacting CWC’s bottom line, reducing fuel consumption and minimising vehicle wear and tear.

About:

Cornwall Waste Care was established by founder Charles Scully in 2018 and began trading in 2019. Operating across the whole of Cornwall, CWC offers no contract, no quibble waste collection service 7 days a week, 52 weeks a year, promising no collections before 10:00 am, the usual check out time for holiday lets. With many second homes being flipped to holiday lets, Cornwall currently has more than 12,000 properties classified as holiday homes and CWC expects its growth to continue hoping to hit 2,000 clients and 40,000 collections by the end of 2023. CWC also offers other services including house clearance, general household, and garden waste removal, and post tenancy cleans, and is proud of its zero to landfill policy.

“Slashing administration and automating workflows means we no longer produce reams of paper, which someone, probably us, has to ultimately process as waste, and connecting our mobile workforce with the back-office function means we have 24/7 visibility so we can easily answer customer queries or react to changing schedules.”
